Most event issues are predictable. During event week, pressure naturally increases as suppliers arrive onsite, production schedules tighten and timelines become less flexible. Risk management, supplier coordination, contingency planning and communication frameworks must be locked in well before bump in begins to allow for any issue to be sorted out effectively and efficiently on event day.
A great example of this came during an end-of-year corporate event delivered on a regional sports oval. As part of pre-event planning, the team worked with local ground maintenance crews to map out the oval’s reticulation system so marquees, structures and infrastructure could be safely installed onsite. However, approximately one hour before guest arrival, while installing the entrance arch, a water main pipe was accidentally struck - flooding the main entrance area moments before the event was due to begin.
As operational systems, supplier coordination and contingency planning were already in place, the team were able to respond quickly. Water services were shut off, the entrance was rebuilt in a new location and the issue was resolved before guests arrived onsite.
